Privacy policy for Loudcheck
This page explains what data Loudcheck collects, why we collect it, how it is used, and the choices you have. We have aimed to keep the language clear and accessible, with no legal background needed to follow it. Last updated .
What we collect
To deliver the weekly mention-and-reputation brief, Loudcheck collects a small set of data points when you sign up and use the service:
- Account email. Used to sign you in, send your weekly brief, and reach you about service-level notices.
- Tracked keywords and brand handles. The names, product lines, or handles you ask us to monitor. We only read public sources — we never post on your behalf.
- Payment confirmation data. When you upgrade to a paid plan, Stripe processes the payment on our behalf. We store the subscription status and a billing email; we never see or store your card number, CVC, or full card details.
- Service metadata. Server logs, delivery status for each weekly brief, and coarse usage signals needed to operate and troubleshoot the platform.
Why we collect it, and how it is used
We only use your data to deliver and improve Loudcheck. Concretely:
- Send the weekly brief to the email address you signed up with.
- Send transactional service messages (receipts, account notices, security alerts).
- Charge for paid plans through our payments processor and keep your subscription active across billing cycles.
- Prevent abuse — for example, blocking automated sign-ups or scraping — and protect the integrity of the service for everyone.
We do not sell your data. We do not use your tracked keywords or briefs to train any third-party model, and we do not share your account data with advertisers.
Third-party processors
To run the service we rely on a small number of trusted processors. Each one handles only the data it needs to do its job, on our behalf.
- Payments — Stripe. Paid plans are captured, verified, and billed by Stripe. Card data is collected and stored by Stripe, not by Loudcheck; we only receive a subscription status and a billing email.
- Email delivery — Polsia email proxy.The weekly brief and transactional service emails are delivered through Polsia’s authenticated email proxy, which acts as our outbound mailer.
- Generation — our own agents. The brief itself is produced by agents that run on our own infrastructure. We do not send your tracked keywords, subscriber email, or brief content to any third-party model provider.
Retention and deletion
We keep your account data for as long as your account is active. Your tracked keywords and the brief history we have sent you are tied to your account and are retained until you delete the account.
If you ask us to delete the account — or use the self-serve account-deletion flow at /account/delete — we hard-delete your account data within seven days. Backups roll off on a thirty-day cycle, after which residual copies are removed in full.
The weekly brief is delivered by email; if you no longer want to receive it, you can also use the unsubscribe link in any issue, or visit /unsubscribed to opt out without deleting the account.
Right to deletion (including EU/EEA users)
Any user — including users in the European Union, the European Economic Area, and any other jurisdiction with comparable data-protection rules — may request deletion of their personal data, and Loudcheck honors such requests on request. The service is available worldwide and does not apply any IP-based, country-based, or geo-based restriction to this right; the same deletion path applies to every subscriber regardless of location.
The fastest way to exercise this right is the in-app self-serve flow at /account/delete. After you confirm, your account data is hard-deleted within seven days and you have that seven-day grace window to cancel the request if you change your mind; the operational timeline and the thirty-day backup retention are described in Retention and deletion. If you cannot use the in-app flow, you can also email the address below and we will process the deletion manually on your behalf.
Your rights and how to reach us
Beyond deletion (see Right to deletion above), you can ask us at any time to access or correct the data we hold about you. Email loudcheck@polsia.app and we will reply within a reasonable timeframe. The same address is the right place for any privacy question, including requests related to GDPR or comparable local rules.
